Privacy notice
Website privacy and cookies
Last updated: 13 October 2026
This notice describes the website's current data handling. Analytics and new CRM delivery are not active. Production retention, supplier arrangements and the launch checks below still require confirmation; this update is not a legal compliance certification.
Who is responsible
Ocean Capital Exchange Ltd (company number 11665955) is the controller for personal information it uses to operate this website and respond to OCE enquiries. Its registered address is 8 Twistleton Court, Priory Hill, Dartford, DA1 2EN. Contact info@oceancapitalexchange.com or +44 20 7183 2026 for privacy questions or rights requests.
This notice covers the website, its tools and OCE enquiry handling. A payment institution, lender or other service provider may be a separate controller for its own account applications, checks and services. Its privacy notice and any agreed data-processing terms also apply; this notice does not replace those contracts.
Information we handle
When you contact us, we may receive your name, business name, email address, telephone number, message and information you choose to share about your enquiry. An optional website calculator enquiry also sends the selected calculator, financial assumptions and inputs, server-recalculated results, calculation version, enquiry reference and a timestamped record of contact consent.
Requests to the website may produce technical information such as the requested URL, request time, browser or device information and IP address in hosting or security logs. Do not put confidential information in a URL. The calculator enquiry handlers do not deliberately log raw submissions, email addresses or telephone numbers.
Only provide information needed for your request. Do not submit passwords, account credentials, identity documents or sensitive personal information through review testing or a calculator enquiry. Provider onboarding documents should use the provider's designated process.
Calculators, eligibility matching and FX scenarios
The finance and FX calculators, business-finance eligibility checker and FX hedging simulator work in your browser. Entering figures or answering questions does not, by itself, send those answers or results to OCE or a lender. Tool answers are not saved in browser local storage by these tools; refreshing or leaving the page may clear them.
The eligibility checker provides illustrative product matches, not a credit search, lender approval or a decision with legal or similarly significant effects. The website does not carry out a credit-reference check through these tools. If you later apply to a lender or payment provider, its own notice should explain its checks and decision-making.
Copy summary writes the summary to your device's clipboard only when you choose that action. Download summary creates the FX scenario PDF in your browser and saves it to your device. Neither action automatically sends the summary to OCE or attaches it to an enquiry. The summary contains your scenario figures, not contact details; take care when sharing it or using a shared device.
Figures are sent only if you explicitly submit an existing website calculator enquiry, or choose to paste or upload information into a separate hosted form. Optional analytics, if activated with your consent, may record a generic tool interaction, but never the financial inputs, answers or results.
Why we use information and our lawful bases
We use enquiry information to answer your request and, where appropriate, take steps towards a service you have requested. The lawful basis is steps at your request before entering a contract, or our legitimate interests in responding to business enquiries and communicating with business contacts, depending on the circumstances.
We rely on legitimate interests for proportionate website operation, security and prevention of misuse, taking account of your rights. Where a specific legal duty requires records or disclosures, the basis is compliance with that obligation. Optional analytics relies on your consent.
The contact-consent checkbox on a review calculator form records your permission to send the enquiry and be contacted about it. It is not a marketing subscription, and does not mean consent is the lawful basis for every subsequent use of that information.
Zoho Forms and optional calculator enquiries
Quote, contact and brochure controls link to OCE's existing hosted forms, including Zoho Forms. The external service receives the normal connection information when you open it. Opening a link is not a submitted enquiry. The form's privacy information and cookie controls apply there; this website's cookie preferences cannot control another service's cookies.
We do not automatically pass calculator figures, contact details or financial snapshots in hosted-form links. Only approved, non-sensitive product, source and calculator labels may be prefilled once the actual field aliases are verified. Hosted-form response fields, CRM mappings, notifications, delivery settings and provider privacy arrangements still need checking before launch.
The existing FX savings, trade-finance and commercial-finance calculator forms save an enquiry to the current review-workspace database only on explicit submission with the required contact checkbox. They do not automatically email an enquiry, deliver it to a CRM or share it with a lender. They are not used for marketing. The linked calculator notices give their specific stored fields.
How long information is kept
The existing data-processing terms describe a five-year period for customer and service personal data, measured from collection or the last interaction, unless longer retention is required by law or regulatory obligations. That service-record statement is not an approved retention schedule for the rebuilt website's review calculator enquiries.
Review enquiries are currently retained in the review-workspace database. No automated expiry or purge is implemented for them. The production enquiry-retention period, deletion process, backup treatment and handling of hosting logs must be agreed before public launch. Do not submit live client data for review testing.
Retention should be limited to what is needed for the request, the service, applicable legal duties or legal claims. Hosting logs, optional analytics and hosted-form records follow their own configured schedules, which still need verification. A browser cookie preference is valid for 180 days; copied summaries and downloaded PDFs remain under your control on your device.
Marketing choices
Providing details or submitting an enquiry does not, by itself, give consent to marketing. The current website calculator forms are for responding to the enquiry, not marketing. Any optional marketing must comply with applicable law and use a separate choice where consent is required.
You can withdraw a marketing consent or object to direct marketing by contacting info@oceancapitalexchange.com. Declining marketing must not prevent you from making a service enquiry. An external form's optional marketing choices should be explained separately on that form.
Team profiles and case studies
The website publishes team members' names, roles, biographies and photographs for business information. Case studies are presented without client names, including the newer invoice-finance and Shopify revenue-hedging accounts. Rates and savings described in a case study are not financial records collected from a website visitor.
If published material identifies you, is inaccurate or raises a privacy concern, contact OCE to request a review, correction or removal where appropriate. The permission and lawful basis for publishing identifiable personal content should be checked with the people concerned before launch.
Your privacy rights and complaints
Under applicable data-protection law, including the UK GDPR and Data Protection Act 2018, you may have rights to access your personal information, correct inaccuracies, request erasure or restriction, object to certain processing and obtain portable information where the conditions apply. You can withdraw consent without affecting processing lawfully carried out before withdrawal. Rights depend on the processing and any legal obligations; they are not absolute.
Send a request to info@oceancapitalexchange.com or write to the registered address above. We may need proportionate information to confirm your identity. Requests should be answered without undue delay, normally within one month; where the law permits an extension or a request cannot be fulfilled, the reason should be explained.
You can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint/ without first contacting us. You may also have a right to complain to your local supervisory authority where applicable. The website is intended for business users, not children; contact us if a child has submitted personal information.
Security, changes and launch checks
The calculator submission handlers validate requests and use controls against duplicate or excessive submissions; they do not deliberately log raw enquiry bodies. No website or transmission method can be guaranteed completely secure. Use designated secure onboarding channels for identity documents and banking information.
This notice will be updated when the site's processing changes. Before launch, OCE needs to approve the enquiry-retention schedule and rights-request procedure, verify supplier and international-transfer arrangements, check hosted-form notices and marketing choices, and confirm permissions for published personal content. Analytics must remain disabled until its configuration and consent arrangements are approved.
